About this policy
This policy explains how K&K Communications Pty Ltd, trading as Uptech World (we, us, our), handles personal information collected through our website at https://uptechworld.com.au and in the course of providing our services.
We provide website development, search engine optimisation (SEO) and graphic design services to clients across Australia. We are based in Melbourne, Victoria, and have traded since 2022.
We handle personal information in line with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth). Where this policy refers to those principles, it is describing the standard we hold ourselves to.
The Spam Act 2003 (Cth) does apply to us regardless of our size, and we take our obligations under it seriously — see "Direct marketing and unsubscribing" below.
1. Information we collect
We only collect what we need to respond to enquiries, provide quotes, and deliver our services. Specifically:
Enquiry and quote forms on our website ask for: your name, company name (optional), email address, phone number, the service you're interested in, your budget range, your timeframe, and a free-text description of your project or message.
Newsletter sign-up collects only an email address.
Client project information. If you engage us for a project, you may provide us with additional material — for example website content, staff or customer contact details, images, files, and access credentials (such as hosting or CMS logins) — so that we can carry out the work.
We do not collect any sensitive information as defined in the Privacy Act, such as health information, racial or ethnic origin, political opinions, religious beliefs, sexual orientation, criminal record, or biometric data. We do not collect payment card details through our website. There are no user accounts, logins or profiles on our site.
2. How we use your information
We use the information you provide to:
- respond to your enquiry and prepare a quote;
- deliver the website development, SEO or graphic design services you engage us for;
- send you our newsletter, if you've signed up for it;
- keep records of our dealings with you; and
- improve our website and services.
We do not sell or trade your personal information to anyone, under any circumstances.
3. Enquiry and quote form data
When you submit an enquiry or quote form, the details you enter are sent by email to our business inbox and stored there.
Anti-abuse protection. To help limit automated spam and abuse of our forms, our form handler records a one-way keyed hash of the visitor's IP address together with a timestamp. We do not store the IP address itself, and the hash is generated using a secret key held only on our server, so the stored value cannot be matched back to an IP address by anyone who does not hold that key. These records are automatically deleted after approximately 48 hours. We mention it because it is a more privacy-protective approach than simply logging IP addresses, and we would rather explain it than leave you to assume.
We do not look up or record your approximate geographic location from your IP address.
Optional backup. We have an optional backup facility that can store a copy of enquiry form submissions as a file. This backup is switched off by default. If it is enabled for any period, the backup file is stored outside the publicly accessible part of our web server, so it isn't reachable directly over the internet.
4. Cookies, analytics and local storage
Google Analytics 4. We use Google Analytics 4 to understand how visitors use our website, but only after you accept our cookie banner. If you decline or dismiss the banner without accepting, Google Analytics is never loaded and no analytics cookies are set.
Browser local storage. Our website stores two small values directly in your browser's local storage, on your own device:
- your chosen light or dark display theme; and
- your cookie consent choice (accepted or declined).
Neither of these values is sent to us or stored on our servers — they stay on your device and are used only to remember your preferences the next time you visit.
Google Ads. We advertise on Google, and where you accept the cookie banner we use Google's conversion tracking to see which advertisements led to an enquiry. This uses advertising cookies set by Google and may allow Google to associate your visit with an advertisement you clicked. If you decline the banner, the advertising tag is never loaded and no advertising cookie is set. You can also control personalised advertising in your own Google account settings at myadcenter.google.com.
reCAPTCHA. We may use Google reCAPTCHA on some forms to help prevent automated spam submissions. Where reCAPTCHA is active, Google receives your IP address and certain interaction data (such as mouse movement and timing signals) as part of its own service, under Google's own terms and privacy policy.
5. Overseas disclosure of your information
This is an important part of this policy and we want to be direct about it.
Project delivery in India. Client project work is carried out with the support of our team in India. If you engage us for a project, personal information you provide as part of that project — including website content, staff or customer contact details, files, and access credentials — may be accessible to personnel in India who are working on your project. Details you submit through our enquiry forms may also be accessible to our team in India as part of preparing quotes and scoping work.
Google, United States. Where Google Analytics, Google Ads conversion tracking or reCAPTCHA are used (see section 4), Google acts as a further overseas recipient of certain data, and Google's servers and processing occur in the United States, under Google's own privacy terms.
Your options. If you are not comfortable with your information being accessible to our team in India or to Google as described above, you can:
- contact us before providing any information, to discuss handling arrangements for your specific project;
- decline the cookie banner, which prevents both Google Analytics and the Google Ads tag from loading; and
- ask us not to submit certain material through forms that use reCAPTCHA, and instead send it to us directly by email or phone.
You're welcome to raise any concerns about overseas handling with us using the contact details in section 15, and we'll do our best to work through them with you.
6. How long we keep information
We keep enquiry and project-related information for as long as we reasonably need it to respond to you, deliver services, and meet our own record-keeping and accounting needs. Hashed IP records associated with form submissions are deleted after approximately 48 hours, as described in section 3. If we no longer have a reason to keep information, we aim to delete or de-identify it.
7. Security
We take reasonable steps to protect the personal information we hold, including:
- serving our website over HTTPS;
- limiting access to enquiry data, backups and client project material to the people who need it to do their work; and
- using reputable third-party providers for hosting, forms and analytics.
No method of storage or transmission over the internet is completely secure, and we can't guarantee absolute security. We aim to be honest about this rather than overpromise.
8. Data breaches
If we become aware of a data breach that is likely to result in serious harm to individuals whose information we hold, we will take reasonable steps to assess the breach and, where appropriate, notify affected individuals and consider our other obligations, consistent with the approach set out in the Privacy Act's notifiable data breaches scheme.
9. Accessing and correcting your information
You can ask us what personal information we hold about you, and ask us to correct it if it's wrong or out of date. To do this, contact us using the details in section 15. We'll respond within a reasonable time. There may be limited circumstances in which we can't give you full access — if so, we'll explain why.
10. Complaints
If you have a concern about how we've handled your personal information, please contact us first using the details below so we can try to resolve it directly.
If you're not satisfied with our response, you have the option of raising the matter with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
11. Direct marketing and unsubscribing
If you've signed up to our newsletter, every email we send will include a clear way to unsubscribe. If you unsubscribe, we will stop sending you marketing emails. This commitment reflects our obligations under the Spam Act 2003 (Cth), which applies to us regardless of our size.
12. Third-party links
Our website may contain links to third-party websites. We aren't responsible for the privacy practices or content of those sites, and we encourage you to review their own privacy policies.
13. Children
Our website and services are not directed at children, and we don't knowingly collect personal information from children.
14. Changes to this policy
We may update this policy from time to time, for example to reflect changes in our services or practices. The current version will always be available on our website, with the "last updated" date shown at the top.
